Tournament Information

Our year-end meeting will take place on Monday, March 23rd at 7:00 p.m. in the KMSC Law Room at DesignWorks Arena.

This meeting is mandatory for all teams participating in the year-end tournament and recommended for teams that are unable to attend.

Tier Bags:
Any teams currently in possession of a tier bag are asked to bring it to the year-end meeting.

Substitute Players:
As mentioned previously, this year there is a special allowance for picking up substitutes due to multiple overlapping events:

If your team is picking up a sub, you must email both the Board and the sub’s team captain, stating that your team will be using Player’s Name for the tournament. Include your team name and the team the sub is coming from.
You may pick up a maximum of two (2) subs from other teams that are not participating in the tournament.
All other subs must have played at least three (3) nights with your team during the season.
Players are permitted to play for only one team during the tournament. Any violation may result in team disqualification and could affect league participation for the 2026–27 season.

Team Rosters & Liability Forms:

Team rosters must be submitted at the year-end meeting. The form is attached.
Clearly indicate any subs and their original teams on the roster.
We will verify that all players and subs have signed liability forms. Players without a signed form—even if they have participated during the season—will be ineligible for tournament play.
Liability forms must be dated no later than February 27th to account for the required three nights of play.

At the meeting, we will also announce tournament schedules and team placements.

Mixed League Crossover:
I have been in discussions with the Mixed League regarding the timing of our tournaments. We anticipate finishing around 5:30 p.m. , while their tournament begins at 5:00 p.m. .

REVISED RULE REGARDING PLAYERS IN THE TOURNAMENT.

The GPLVL Board discussed the matter of roster additions for the upcoming tournament.

As you are aware, the tournament weekend is a particularly busy one, with a number of competing events taking place. As a result, several teams are unable to participate in this year’s Ladies Tournament.

To support team participation while maintaining fairness, the Board has approved the following:

-Teams that have confirmed they will be participating in the tournament may pick up a maximum of two (2) players from another team.

-Teams must notify the Board in advance of the full names of the players being added, along with the team they are originally rostered on.

-Pick-up players are not permitted to play for more than one team during the tournament.

-As with regular rostered players, no individual may play for multiple teams over the course of the tournament.

These guidelines are intended to provide flexibility while ensuring consistency and fairness across all participating teams.

If you have any questions or require clarification, please contact the Board prior to the tournament weekend.

GPLVL and Liability Coverages

Let’s talk about those liability forms that every player must sign before participating in the Grande Prairie Ladies Volleyball League (GPLVL).

These forms are a requirement of our Third-Party Liability Insurance , which helps protect the League in the event of bodily injury or property damage claims that may arise during league activities.

This coverage is designed to protect the League and others — but it’s important to understand exactly what is and is not covered.

Who and What Is Covered?

GPLVL (the League) — ✅ YES
Players who injure others or damage property — ✅ YES
Players who are injured as a result of their own actions — ❌ NO

So what does that mean in real-life situations?

Here's a couple examples to help you understand:

Scenario 1: Player A collides with Player B during a game, causing injury. Player B makes a claim against both Player A and your league.
Covered - Policy defends your league AND Player A for the bodily injury claim

Scenario 2: Player accidentally breaks a window at the facility or damages equipment
Covered - Property damage liability (after the deductible)

Scenario 3: Player sprains their own ankle and wants medical bills paid
Not Covered - This is not participant accident or personal medical insurance

Scenario 4: Spectator gets hit by a ball, suffers injury, and makes a claim
Covered - Bodily injury to third party

Playing While Pregnant

The GPLVL Board will not engage in debate regarding any adult woman’s decision to participate while pregnant. We respect each individual’s choice to play; however, participation while pregnant is done at one’s own risk.

From an insurance standpoint, this is how coverage would apply:

If a pregnant player injures herself:
Not covered — The policy does not pay for her medical expenses.
If a pregnant player injures another player or a third party:
Covered — She is covered as an additional insured under the League’s policy.
If someone makes a claim or lawsuit against the League:
Covered — The League is defended.

Bottom Line

Our insurance policy is designed to protect the League from bodily injury and property damage claims, whether formal lawsuits or informal claims.

It does not provide medical coverage for players’ own injuries. All players are encouraged to ensure they have their own personal health insurance.

Signing the liability waiver is a required part of participation and helps ensure the continued operation and protection of the League for everyone involved.

Important Notes

You’ll be notified that evening if your team has been accepted.
Rosters (minimum of 6 players) are due by September 4, and liability forms by September 8.
Please double-check your team’s information — grossly inaccurate rosters/forms will be returned to team captains to re-do and the team will be moved to the end of the registration list.
League fees are due September 8 by midnight and will be $1500.
This year the league will have 40 spots, potentially up to 44.
Info needed on registration night: Team Name and 2 captains names/contact info.
